STEP BY STEP

FOR INSURANCE CLAIM SUCCESS


  • 1. Is there damage?

    Some damage is obvious while others may not be. If you believe you may have damage, call the insurance company, or Apollo for a free assessment of your house and property. If your situation is more urgent and you require immediate action, we can tarp the vulnerable and exposed areas to prevent further damage. The insurance company will cover all of these costs. 

  • 2. Filing your claim

    When you call in to file a claim, you will not be working with your normal agent. Your insurance agent will have no involvement in the actual claim process. Our best advice is to search for your insurance company's "Claims department" and call their number directly. 


    You will need to provide the following information to the appropriate authority to handle your claim.


    I. Date in which the damage occurred


    II. What caused the damage


    III. The damage you see or you think you might have


    IV. The insurance company then will develop your claim based on your explanation and then assign you a claim number.

  • 3. The claim number

    A claim number is the single most important number given to you. This number identifies you, your policy & any information related to this particular incident/claim. Please have this claim number available whenever you speak to the insurance company and on your initial visit with Apollo. 

  • 4. The Inspection Process

    Now we will have to document all of the damage, and build a “scope of work” or “inspection report”, describing the full range of damages that need to be repaired. Here at Apollo, we will do a full walkthrough the inside and outside of your property, taking pictures and notes, to ensure accurate documentation of the damage. Your insurance company should also send out a representative to complete an assessment and document all damages.


    To make absolutely sure of 100% accuracy and to provide you with the utmost confidence, we ask to be present when the insurance adjuster performs their inspection. This allows everyone involved to be on the same page from day 1. 


    Throughout the process, we will need to be in contact with your insurance adjuster/company to make sure all documentation is provided in an efficient manner. We will ask you to collect and provide us with the adjuster’s name, phone number, and email address.

  • 5. Scope of Work

    The insurance company is responsible for developing the scope of work, seeing as they will be paying for the repairs. They may prepare these documents with or without a contractor involved. This packet will be given to you either via physical mail or emailed to you by the insurance adjuster. These documents will contain every detail of items to be repaired and the cost(s) associated. We will require a copy of this scope of work for review. If no discrepancies are found then we are good to go. If there are items missing from the scope of work, your adjuster/insurance company will need to be contacted by either yourself, or we may contact them on your behalf with the missing items in question.  

  • 6. Money Management

    Policies will differ from person to person and insurance provider to insurance provider. The following information may or may not apply to your situation. A large majority of our customers will be handled in this fashion. 


    On your scope of work from the insurance company, you will notice the acronym ACV (Actual Cash Value). This number is the value of your materials today. Below is how this number is developed


    (RCV - ACV) - DEDUCTIBLE = SECOND CHECK (RECOVERABLE DEPRECIATION)


    The second check (recoverable depreciation) will be sent to you once Apollo has completed the work and submitted a Certificate of Completion to your insurance company. This check is yours to deposit into your bank account.

  • 7. Money Management for Mortgages

    If you have a mortgage on the property being claimed, the insurance company will more than likely write the check to you and to your mortgage company. If this is the situation for you, send the check to your mortgage company for a release signature. 


    We tell all of our clients to act with haste as this process may take some time depending on the mortgage company. Certain mortgage companies require specific information about the claim or the contractor before they release any of this money back to you. To stay ensure a smooth process, You will need to contact your mortgage company and ask them what information they require in order to get the check signed off quickly. 


    If you need any assistance during this phase of communication with the mortgage company, we're happy to help you in every step of the process. In most cases, you will need to provide your account number and mortgage number for verification before any discussions can take place with the mortgage company.


    Once the checks have been signed off by the mortgage company, immediately deposit them into your bank account of choice.

  • 8. Paying Apollo

    Once the scope of work is agreed upon by all parties involved and the funding has been secured the work can now be scheduled. With insurance claims situations due to storms, we collect a portion of payment upfront allowing us to cover some of the cost(s) upfront and begin working on your home sooner rather than later. Once the job is completed, we will collect the rest of the money upon your satisfaction with the

SUPPLEMENTS

A supplement is required when you run into additional damage that was overlooked on the original assessment. Photos of these issues will be documented and submitted to you and the insurance company/adjuster along with an estimate for repair for you/them to review and approve. 

 

LOCAL BUILDING CODE

Every city and state has building codes in place that need to be considered before construction begins. If the current condition of your home is not in accordance with your local building codes, materials must change to meet the most up to date building codes. In most cases, the insurance company will pay for this material change, but in rare cases, they will not. All the necessary documentation will be provided to you and the insurance company as a supplement calling out any of these questionable items.
